Inbox and Messages

The Inbox is where you see LinkedIn conversations (and optionally other channels), reply to messages, and approve queued campaign messages. This guide explains how it works and how to handle approvals.

Inbox overview

  • Conversations – Threads with prospects (LinkedIn and, if enabled, other channels).
  • Reply – You can reply from Deskflow; replies are sent via your connected LinkedIn (or channel).
  • Approvals – When a campaign (or manual send) queues a message, it can be set to pending approval. You approve or edit it before it’s sent.

Viewing conversations

  • Open Inbox from the main navigation.
  • Select a conversation to see the thread. You can reply in the composer.
  • Filters and tabs (e.g. All, Unread, Sent) help you find the right threads (exact options depend on your app version).

Replying to messages

  1. Open Inbox and select a conversation.
  2. Type your reply in the composer.
  3. Optionally use Generate Personalized Message (if available) to draft with AI.
  4. Send. The message is sent via your connected LinkedIn (or channel).

Message approvals

Many campaigns are set so that each message is queued for approval before sending. That way you can review and edit before anything goes out.

  • Where to approve – Pending messages appear in Inbox (e.g. in an approvals section or a dedicated queue, depending on your app).
  • What you see – The prospect, the step (e.g. connection request, follow-up 1), and the message content.
  • ActionsApprove (send as-is), Edit (change the text, then send), or Reject (don’t send).
  • Dashboard – The Home dashboard (or campaign) may show “Approvals required” or similar so you know when there are pending messages.

Connection requests and invitations

  • Connection requests – When you send a connection request from a prospect (or from a campaign), the recipient sees it on LinkedIn. When they accept, you can then send messages in that conversation.
  • Invitations – Some setups have an Invitations page to view and manage connection requests (sent and received). Check the main nav for Invitations if your plan includes it.

Sync and delays

  • Inbox sync – Deskflow syncs your LinkedIn inbox on a schedule so new replies and conversations appear in Deskflow. If something is missing, wait for the next sync or check that LinkedIn is still connected (see Connect LinkedIn).
  • Sending – After you approve a message, it is sent via LinkedIn (or the connected channel). Delivery follows LinkedIn’s normal timing and limits.
